Fovestta is workplace attendance and HR software that your employer licenses and configures. This policy explains what the Fovestta app collects on your device, why, and who it's shared with.
Who controls your data: your employer (the company that issued you this app) decides to use Fovestta to run attendance, leave, and payroll processes, and controls your employee data as your data controller. Outsmart Technology, the maker of Fovestta, processes that data on your employer's behalf and does not sell it or use it for advertising.
1. Overview
Fovestta is used by your employer to record attendance (including face-recognition check-in/out and, for field roles, location tracking), manage leave, reimbursements, loans, and regularization requests, and send you related notifications. This policy covers the mobile app; if you also use the Fovestta web console, the same principles apply there.
We only collect what these workflows need to function. Nothing described here is used to build an advertising profile, and none of it is sold to third parties.

3. Location data
When you check in or out, Fovestta reads your device's precise location once to confirm you're within your workplace's geofence. This is a single point-in-time reading, not continuous tracking.
If your role is marked as field-duty by your employer, Fovestta additionally collects your location continuously during your shift, including while the app is in the background or your screen is off. This exists so your employer can see field staff locations on a live map and confirm site visits. It stops outside your configured shift hours. You'll see an ongoing notification while background tracking is active, as required by Android and iOS.
Location history is visible to your manager, HR, and admins configured by your employer, and is stored on servers your employer's Fovestta tenant runs on.
4. Camera & face data
Fovestta's face-recognition check-in converts a camera capture of your face into a numeric template (a face embedding) and compares it against the template you enrolled with. This template is a form of biometric data.
- Enrollment happens once, typically set up by your employer or during onboarding.
- Each check-in/out capture is used to compute a match and is not kept as a viewable photo beyond what's needed to confirm the match, unless your employer's configuration retains it for audit purposes.
- Face templates are used solely for attendance verification within Fovestta — never for any other identification purpose, and never shared outside your employer's tenant.
5. Other information
Beyond location and face data, Fovestta handles the ordinary information an HR system needs: your name, employee code, department, contact details, attendance timestamps, leave/loan/reimbursement/regularization requests and their approval status, and the content of notifications sent to you. If you upload a profile photo, that image is stored against your employee profile.
We also collect basic technical data — device model, OS version, app version, and crash/error logs — to keep the app working correctly.
6. How data is used
- Verifying attendance and computing work hours, overtime, and leave balances
- Routing leave, loan, reimbursement, and regularization requests to the right manager, HR, or admin for approval
- Sending you and, where relevant, your manager/HR/admin, notifications about the above — in-app and as push notifications, based on the categories you enable in Settings
- Showing field-duty employees' location to authorized staff at your employer
- Diagnosing bugs and improving app reliability
8. Retention
Your employer controls retention settings for their tenant. Attendance, leave, and financial-request records are generally kept for as long as your employer's HR and statutory record-keeping obligations require. Location history and face-match data are retained only as long as needed for attendance verification and audit, per your employer's configuration. When you leave your employer's organization, your employer controls whether and how your account and historical records are retained, archived, or deleted, consistent with applicable law.
9. Security
Data in transit between the app and Fovestta's servers is encrypted. Access to employee data within a tenant is restricted by role, so only people your employer has authorized can see it. No system is perfectly secure, and we continually work to improve our safeguards.
10. Your rights & choices
- Notifications: you can turn push notifications off entirely, or disable individual categories (leave, loan, reimbursement, regularization, daily check-in/out) in Settings.
- Location: you can deny or revoke location permission in your device settings, though this will prevent geofenced check-in/out and field tracking from working.
- Camera: denying camera permission disables face-recognition check-in; your employer may offer an alternative check-in method.
- Access & correction: most profile information can be viewed in the app; for corrections, deletion requests, or questions about data your employer controls, contact your HR department first, since they are the data controller for your employment records.
11. Children
Fovestta is workplace software issued by employers to their employees. It is not directed at, and we do not knowingly collect data from, children under the minimum working age in their jurisdiction.
12. Changes to this policy
We'll update the effective date at the top of this page when this policy changes, and post the revised version here. Material changes affecting how biometric or location data is handled will also be communicated in-app.
